GDPR – GENERAL DATA PROTECTION REGULATIONS - July 19

 

These came into force on 25th May 2018, and as having legal force the club is required to comply with their provisions:-

1)      We recognise that all personal information collected from individual members remains “personal data” and must be kept secure and used only for the purpose for which it is collected.

2)      We are obliged to pass on personal details to both the Mid Sussex Chess League and thereby the English Chess Federation, but this is apart from our own use as a club one of the key purposes for which we need personal details.

3)      Paper records will be kept secure at all times and unable to be viewed except with permission.

4)      Computer records will be password protected and kept secure.

5)      Only elected officials of the club will have access to personal data.

6)      Email communication to club members as a group will only be via a protected mailshot program or blind copy (Bcc) to all recipients.

7)      Personal contact details can only be displayed on our website with the specific consent of the individual concerned.

8)      We will display photographs on our website with just names aligned to them unless we receive from the member explicit instruction of their wish that this should not be done. 

 

Although as a club we will always endeavour to protect a member’s privacy, part of our very existence depends on publication of results and achievements in the hope that we may attract more members, without which we cannot survive easily.  It is hoped that members will recognise the club needs to promote itself, which relies to some extent on naming of individuals, so a level of co-operation.

Any concerns or alleged breaches of the above should be reported to the Club Secretary as the Data Controller for the purpose of these Regulations.
