Meeting Notes

September 25th 2013

VPA Boosters Mission Statement:

Our Mission is to enrich the existing high school arts, music, and drama programs and to support additional opportunities for learning. We provide a means of recognizing and honoring our talented young people through scholarships, special programs, and support and promotion of visual and performing arts performances, shows and events.

Our President, Cynthia Hall Domine, read the above statement to our members that were present.

Tom Macisso read the meeting notes from our previous meeting, April 9th 2013 and the minutes were approved by the members.

Treasurers’ Report

Cynthia read the report in Vickie’s absence. We are looking for a new Treasurer as this will be Vickie’s last year. Thank you Vickie for all your efforts and flawless reporting! If possible, she is looking to work with someone this year to ensure continuity of this important program. If interested, please let Cynthia or Tom know!

Open Officers Positions

Ben Potvin agreed to fill the Secretary role, Tom Macisso will be the new Vice President. In addition, we have several new and returning members stepping up to replace Ruth Hickson; thank you Ruthie for all your hard work and dedication to our VPA Boosters. As mentioned, we are looking for a Treasurer for the 2014/2015 school year. Tom Macisso has offered and has been approved to become the new President replacing Cynthia who will be stepping down as VPA Boosters President at the end of this school year. Please take a moment and thank Cynthia for all her contributions to our VPA Boosters club and for her leadership, drive, passion and can-do attitude; great job Cynthia!

Updates from Nate Menifield (by Ben Potvin in Nate’s absence)

TriM program has been reinstituted this year and the leaders have been announced. Congratulations to all! (Please see www.musicatkhs.com for details) This program will provide more leadership opportunities for our talented students.

Another new program this year is the Jazz Choir.

All State Auditions will continue to be held here in our district; this allows our performers to not have to pay the fee to audition ($26.00) and provides our club with an opportunity to make money on concessions. Steve Kingston has agreed to manage the kitchen this year. Thank you Steve! Please consider assisting us with donations/volunteering your time with concessions; information will be coming out soon.

Updates from Ben Potvin

This year’s musical: The Drowsy Chaperone

Overall numbers for the band are increasing this year!

There is an immediate need for a new Light Board; this was voted on and approved by the members present. The existing Light Board isn’t serviceable anymore.

Instead of requesting a new sound system, Ben said he’ll rent one this year due to the upcoming vote on the SMCVPA.

Update from Deb Robinson (by Ben Potvin)

The Calendar program which is art work by the students will be available for sale throughout our community for calendar year 2014. According to Deb, these were popular when done by students in the past.

Update from Val Reid

Fall Play “The Children’s Hour” Friday, November 22nd, Saturday November 23rd, @ 7PM and Sunday, November 24th @ 2 PM. The NATS Singing competition is also this weekend, so it might be a good idea to request help early for concessions.

A question was brought about the scheduling of the Fall Play. Why not try to have it earlier in the school year? Val said that she would think about it and let us know.

Val asked the question of: What would be an appropriate request of the Boosters?

2012 -2013 Fundraising Activities

Friends of the VPA Donation Letter to VPA Parents and Boosters; this was successful last year and we’ll continue it this year. We have 100 magnets, 368 envelopes, 450 return envelopes. We need mailing list of KHS/VPA students – a pdf list would be ideal.

Ad Sales for Theater Program

Biggest program ever; kudos to Lynn White for all her hard work and continued efforts.

The deadline for this fall is November 2nd.

Sponsorship Opportunities

Fall Play (The Children’s Hour) – sold, but Co-Sponsorship available

Musical (The Drowsy Chaperone) – sold, but Co-Sponsorship available

Spring Play (TBA) – Open

Cynthia went over the process briefly for Ad Sales but also offered to train individually and/or in small groups. Several new members have stepped up to help with Ad Sales! Thank you! She also mentioned to be “on the lookout” for new businesses; Norway Savings Bank was brought up as an example.

PR for Plays/Musicals/Programs

Tom Macisso has volunteered to help hang posters and assist with publicity for the Fall Play.

VPA Scholarships

Congratulations to all who assisted with this last year; in our first year we had 10 quality applicants and 2 recipients of $1000.00 per. We’re looking forward to offering two more scholarship again this year. The 2014 Selection Committee is: Ben, Nate, Debbie, Bruce, Lynne, Tom, and Val. Thanks Val for stepping up!

Summer Enrichment Program

Tom Macisso has offered to chair this process with help from Ben.

They will offer the application on the khsmusic webpage and work with teachers and the administration to educate them on this new process.

VPA Education Program

Jeni Kingston and Val Reid will look into this and determine what timeframes might be best to schedule this during the school day
