VPA Boosters

General Membership Meeting Wednesday, January 31, 2018, 7:00 PM

1. Call to Order: 7:00pm-Introductions: Connie Plaisted*, Catherine Lindgren*, Jeni Kingston*, Emma Hauser*, Lisa Crimp*, Emilie Spas*, Karen Ennis*, Scott Ellis*, Matt Fadiman , Rose Hines, Leslie Trentalange, Denise Hammond, Ben Potvin, Nate Menifield, Wendi McPike*

2. Approval of Minutes from 10/25/18- approved!

3. Treasurer Report -attached

4. Music Department Update

Ben: Casco Bay Wind Symphony coming- combined all bands. Final concert for Music in our Schools, March 26th. We are invited to do concessions for concert- there will be an intermission. Will need adults to monitor “no food” coming into the auditorium.

-Lip Synch performance postponed. Many things double booked. Maybe April- Date TBD

-Festival Trip, May 25th- haven’t put in a financial proposal- need to get results back from students-who will be able to come. Amesbury MA- Canobie Lake Park.

-Alumni and Friends Concert, June 23rd FB event as well.

-Maine Street Festival looking to connect with KHS music students to possibly work together for a fundraiser, for the Portland Symphony Kennebunk Concert.

-in planning mode for courses and program for next year. Looking to strengthen the program district wide. Looking at what is needed and barriers, etc. District music faculty has been meeting for a few months. Working with a task force -elementary band, Assistant Superintendent as well as principals and teachers.

5. Art Dept Update-

-Darkroom Door- working so well! Can stop in and see it with Katie.

-Scholastic Art Awards- Maine College of Art, 1/29-2/10 (Seniors: Will Blastos, Evie Roop,

Mary Couturier, Angelina Macedo. Underclassmen: Chloe Pizey, Kiara Davis). We are looking to post some of this success, and waiting on clearance forms.

-2 upcoming art shows in March at Brick Store Museum and May at KHS

-photography class- connections to working photographer? (Possibly Robert Aikers, and/or Michael Wilson)

6. Theater Dept Update

-theater trip to Salem did not happen- as a result, VPA funds voted to support this event were not dispersed. -$4000 Grant request for 2 spotlights- proposal. Questions as to where-a-bouts of spotlight that was in the theater before? We realize it may not meet the technical needs of the new auditorium. Need to make sure the school will handle any maintenance and installation. Vote: passed. Recognition- and school will maintain. -Musical- “As You Like It” (March 1,2,3,9,10,11) tickets on sale at Brownpaper tickets. Prices are up to $16 with online purchase fee.

-no intermission so no concession sales

-Community auditions 1/20 @ 2 PM

-2/3 and 2/4 (Saturday and Sunday) from 10-6 - construction and lighting work- looking for help- parents/community.

-Discussion on how there has been a shift in the relationship between the theater and VPA Boosters- which is to be expected with the new space, management and direction. At some point we would hope to be able to clarify how we can best support the theater department and have some dialogue with not only the theater manager but also administration as to how we can best support this new department especially with regards to expectations of our organization’s work, responsibilities and finances. It would help us to understand how the theater budget works, and how the theater also fits within the greater community now, as it does appear to have a broader reach.

7. Funding Application policy -alter to add wording that the “executive committee” approves or denies requests. Also need to remove the requirement that RSU21 return any items not used, perhaps, instead, could look to use items within another school in the district. Our gifts need to be unrestricted.

8. Scholarships

-new policy review- possible change is to invite the arts faculty to also attend the meeting. Maybe give the applications to the teachers for input. And then invite them. Perhaps reach out to other faculty, mentor, or private instructor

-vote to authorize up to four $750 scholarships totaling $3000- with changes- passed

-selection of committee-Emilie, Catherine, Emma, Scott, Wendi

9. Love Music and Arts Month

-annual appeal

-friends and family letters

-Facebook push

-KHS Announcement/Newsletter

-email letter

-previous ad sponsors letters- separate modified letter. Tri-M, theater club etc.... maybe write on these. -local business emails or letters

-magnets $ approved expense for these. with thank you letters

- friends and family letter-students in classes are encouraged and asked to bring in 3 names (not parents)

to send to. They will write a short note on them. -Love Music and Arts T-shirt Design Contest

-submissions until 2/28

-$50 Gift certificate

-committee of exec board and 1 dept head to be invited to vote (Mr. Herman,

Mr. Menifield, Ms Mooney, and Mr. Potvin)- perhaps keep it curricular only. -announcement of results at Music in Our Schools Concert 3/26, with sale of t-shirts at

concert

10. Other

-chamber of Commerce Renewal -$125 for this year. Noted they can provide us with names/addresses for

additional mailings. Try it one more year. Use their postings more, look into how they can help us with more promotion of events as well. Passed with some hesitation.

-Printing costs-Brown Fox- approved.

-Amazon Smile Link – registered as a non-profit with them. Will need to get the link out through social media.

- Look into forming a task force to further explore the discussion items mentioned above in regards to support role for theater department. Consider later this Spring. Consider members of school board, principal, superintendent, (recent school board meeting discussed theater sponsorships) Interested: Wendi M, Jeni K, Emilie S, Lisa C, Leslie T, Emma H

Also look at clarifying differences between operation of the Theater Department and the Auditorium so we may best support and serve.
