Utica High School Athletic Booster Club

October 3, 2016

In Attendance

Meeting was called to order at 7:03 pm with 21 in attendance. Please refer to sign in sheet for name of attendees.

Approval of Minutes and Treasurer’s Report

Minutes were not taken at last meeting. Jackie Guitar motioned to approve the Treasurer’s Report. The motion was seconded by Lisa Fromm, voted and approved by the attendees.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus shared some of our sports teams’ recent accomplishments:

Boys Varsity Tennis - experiencing a good year with their new coach, Ann Marie Michol.

Girls Varsity Golf – winners of the MAC Blue Division Title.

Boys Varsity Soccer - currently in 2nd place in their division.

Girls and Boys Cross Country teams are doing well with another jubilee coming up this weekend.

Girls Varsity Swim – a few of their swimmers placed at the recent county meet.

Boys Varsity Football – current record is 2 – 4. Mr. Vigus complimented Coach Marulli’s efforts.

Mr. Vigus also shared some information regarding insurance coverage that is available to eligible athletes through MHSSA. If your school funded athlete has been injured during practice or at a game, please be sure to report the injury immediately to your coach and athletic office and be sure to request the form for this additional coverage if applicable. The coverage does not apply to club sports such as sideline cheer.

He also asked us to keep in mind that the same rules pertain to all sports teams whether it be a club team (ie, lacrosse) or a school funded sport.

Lastly, he asked that we as parents all keep an open, positive mind when it comes to our children’s coaches. Saying negative remarks about a coach in front of your athlete is not conducive. Positive comments are more helpful to your child, the coach and the team as a whole.

New Business

• 3 Digit Lotto Fundraiser - Only 321 tickets out of 1,000 have been sold. A total of $3,210.00 has been collected. The break-even point was $3,6000 so an additional $390 will need to be raised, hopefully, we will be able to do so with an upcoming Euchre Tournament.

• $10,000 Raffle - This event is held on the 1st Thursday in February. Tickets cost $150.00 for two attendees. This year the event will be held at Shelby Gardens with an open bar and appetizers included in the cost of your ticket. If you are a returning attendee you will soon be receiving information requesting payment. If you would like to purchase a ticket for the first time, please see Chris Wessel to be added to the waiting list. Usually we are able to accommodate all those on the waiting list.

• Website – Crystal Solomon will be working on giving the website a fresh makeover. If you have any suggestions or topics you would like to see on the website, please send her an email at uhsathleticbooster@gmail.com

• The Board would like to host a separate meeting with all coaches (fall/winter/spring) to further discuss fundraising opportunities and how to get all teams involved.

• Jersey Mike Fundraiser – cards will be passed out to students in their 1st hours soon. The cards are valid October 12 – Oct 16th.

• Wish Lists – Mr. Vigus will be distributing the Wish List forms to each coach soon. Once he receives them back he will review and submit to the Board for further discussion. Coach Moehlig approached the group with an early request based on timing. He would like to have the baseball field winterized which needs to take place very soon. He is working on obtaining a quote.

Old Business

The shared concessions space between us and Eisenhower continues to be an ongoing learning process. Examples include re-stocking inventory at the end of an event, conflicts over storage space, and our stance on no longer purchasing ice. We will continue to work on communication and resolutions.

Open to the Floor

Proposed Recycle Can and Pop Returnable Bins for each game. It is agreed that it is too late to consider for the remainder of this football season but we will look into and strongly consider having them on hand for spring sports. The thought was that whichever team is working the concessions on a given night would be responsible for returning the cans and they would be able to keep the profits for their respective team. Further discussions will have to be had.

12 Parent Volunteers are needed to work concessions for the Homecoming game on Friday, October 7th. If you are interested, please send an email to uhsathleticbooster@gmail.com

NOVEMBER MINUTES

Utica High School Athletic Booster Club

November 7, 2016

Approval of Minutes and Treasurer’s Report

October 2016 minutes were distributed. Jackie Guitar motioned to approve minutes, motion was seconded, voted and approved by attendees. October 2016 Treasurer’s Report was distributed. Jackie Guitar motioned to approve report, motion was seconded by Andrea Tisch, voted and approved by the attendees.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus began with mentioning the upcoming try outs being held starting with girls basketball and competitive cheer to kick off the winter sports season.

He proudly shared the success of the boys tennis team winning the MAC White division with one of their players, Donovan Winn, qualifying for the state match. He mentioned the girls golf team winning MAC Blue division and Gabe Garbarino qualifying for the state cross country meet and breaking the school record. Also, the girls swim team recently broke three school records.

He announced the following new coaches to the Utica staff:

Jacklyn Adamski – Girls Freshman Basketball

John Carlon – Boys Freshman Basketball

Dave Hinkle – Boys Varsity Basketball

Bob Clouston – Boys Varsity Hockey

Katie Droope – Dance Team

Also, he advised of the recent resignation of the Girls Track coach, Roger White. This job will be posted with the district and a search for a new coach will begin.

He shared some interesting information regarding an article about the advantages of being a diverse athlete, playing more than one sport.

Lastly, he urged the group to use common sense when it comes to social media postings and to refrain from commenting on student athlete’s pages. This discussion lead into further talks relating to the “links” rules explaining some of the guidelines that go along when a student athlete transfer schools.

New Business

The Booster Club Board Members along with Mr. Vigus recently hosted a meeting for ALL coaches. This meeting was held offered on two nights and the turnout was very good. Coaches had the opportunity to ask any questions they had regarding the Booster Club involvement/support and the Club was able to share their objectives.

Wish Lists have been received from most of the coaches. Mr. Vigus will meet with the Board Members to discuss some of the requested items prior to presenting to the Booster Club at the next meeting.

Press Box Seats, the suggestion of possibly offering some sort of raffle or drawing and providing four VIP type passes that include special parking spots, food and drinks and 4 seats atop the press box for home games. Further discussions will need to take place.

Basketball Concessions, there is still a need for an opener of the basketball concessions. A parent is needed for Varsity and JV Girls and Boys games. There is approximately 8-10 home games and the start time for the opening and prepping of concessions would be no later than 4:45PM, however, there are days when there good be an earlier game.

Need to address the chairs in the press box and assure that there is proper seating for announcers and coaches.

Lowes accepts UCS Purchase orders, FYI if you team is in need of this type of purchase, please note that Lowes does accept POs.

Old Business

• 3 Digit Lotto Fundraiser - We will host this fundraiser again next year. It will be held earlier, approx. ticket sales beginning in August with the start of football. We will ask each sports team to sell.

• $10,000 Raffle - Payment deadline is approaching. No tickets will be sold at the door.

• Jersey Mike Fundraiser – Will discuss the success of this fundraiser at December meeting.

SAVE THE DATE – Euchre Tournament to be held on Friday, March 24th at St. Lawrence K of C Hall. More details to follow in the coming months.

Karen Holmes proposed a fundraiser to sell custom Utica Chieftain Bracelets. There are a total of 75 for sale at the cost of $20.00 each. Proceeds to benefit the weight room. They will be on sale at upcoming Parent/Teacher Conferences.

The Dance Team will have their first competition this weekend, best of luck ladies!

DECEMBER MINUTES

Utica High School Athletic Booster Club

December 5, 2016

In Attendance

Meeting was called to order at 7:03 pm with 13 (including board members) in attendance. Please refer to sign in sheet for name of attendees.

Approval of Minutes and Treasurer’s Report

The November meeting minutes we not available therefore, they will be reviewed and voted on at the January meeting. Ed Fromm motioned to approve the Treasurer’s Report. Motion was seconded by Andrea Tisch, voted and approved.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus shared more details about the remote basketball nets. The approximate cost is $10,500 for equipment/supplies, $500 for installation bringing the total to $11,000. It was discussed that $5,500 will be paid by Mr. Vigus’ fund and $5,500 will be provided by the Booster Club. The district will handle the electrical portion.

Wish list summary items but will be discussed in further detail at the January meeting:

Lacrosse – sticks - $1,000

Hockey - $1,000

Dance Team – Radio and Poms - $600

Baseball – This item has been completed. Refer to October minutes.

Soccer – Small goals – Need pricing info

Softball – to be determined still.

Mr. Vigus also shared how exciting the home opening hockey game was. There was a grand entrance for the players, each having their name announced as they skated onto the ice. Although they lost 6 – 7 it was a good game and they are looking forward to be a competitive team this year. FYI Hockey games since it is considered a club sport will not honor MAC passes.

He commented on how all girls basketball teams started out with a win against Regina teams.

The boy’s freshman and JV teams did not get wins and the Varsity team was playing at the time of this meeting so results will be shared next meeting.

Again, he stressed the importance of filing an injury report if an athlete has been hurt. Please submit the report as soon as possible after an injury.

The Dance Team placed 3rd in their first competition.

The Football banquet went very well and was enjoyed by all.

Still looking for Girls Track Coach.

New Business

Karyn Holmes will advise on the success of the bracelet sales at the January meeting. It appears she originally sold out of the first order and placed a reorder for additional bracelets to be sold during basketball season.

Old Business

Wish Lists from the coaches have been reviewed by Mr. Vigus and board members. Completed wish list with complete details will be brought to January meeting for final voting.

Basketball concession opener for girl’s games is still needed. Andrea Tisch will be the closer for boy’s games and Karyn Holmes will be the closer for girl’s games. Nancy Seib will close for this Friday’s game.

Jersey Mike Fundraiser raised $475.67 which is about ½ of what it raised last year.

Crystal Soloman inquired about Fallen Hero T-shirts. Unfortunately, although all agreed it is a great cause once the club supports one cause it must support all, therefore, they are unable to participate in these types of events.

January 9, 2016

Approval of Minutes and Treasurer’s Report

The November Minutes were reviewed and a motion was made by Jackie Guitar and seconded by Janice Lavelle, voted and approved. December Minutes were reviewed and a motion was made by Ed Fromm and seconded by Shawn DeHondt, voted and approved. Jackie Guitar motioned to approve the December Treasurer’s Report, the motion was seconded by Kathy Roberts, voted and approved.

Special Guests – Henry Ford High School Fallen Heroes Committee

Terry S., Donna D., and Chelsea P. from Henry Ford girls’ soccer program approached the group requesting funds to support the Fallen Heroes soccer game. The game which will take place in May between the Utica and HF Girls Soccer teams and is a charity event. The group went into great detail sharing information regarding the success of past games held and the amount of money proudly raised for Military Families United of Michigan, exceeding $6,000 last year. The committee requested the amount of $800 to provide approximately 20 Varsity game jerseys and 18 JV game jerseys that the Utica players will wear with the name of a Fallen Hero on the back. These jerseys will then be ceremonial given to the family of the Fallen Hero represented. A motion was made by Ed Fromm and seconded by Shawn DeHondt, voted and passed unanimously. It was made mention that this is a one-time participation on behalf of the Utica Boosters and donations in this amount are taken after careful consideration.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus shared that all winter sports are in full swing.

Girls Basketball is having a good season.

Varsity Dance team took 2nd in Pom and 3rd in Jazz and their recent comp.

Varsity and JV Competitive Cheers having been progressing as their seasons continue.

Boys Basketball with a 1-5 record this far.

Boys wrestling offering a positive experience.

Swim team was thankful for the swim lanes they received as their wish list item.

Hockey team continues to give it their best efforts.

Lastly, scholarship deadline of April 21st is fast approaching. Please submit applications to Dr. Perry.

New Business

A proud point to share is the Booster Club has given over $200,000 since 2010 towards all Utica sports teams do the generous support and donations of the boosters, parents, teachers, alumni and staff.

SAVE THE DATE – Euchre Party to be held on March 24th at the St. Lawrence K of C Hall. Tickets costing $25 will be available for sale at the $10,000 Raffle as well as available through coaches or see a booster club officer. They are hoping for our biggest turnout yet!

Old Business

Wish Lists from the coaches are now complete. All teams have received the items and/or services they had requested. A breakdown of items will be available at the January meeting. The only team’s wish list item still pending is Girls’ softball which will be determined based on field conditions and up keep. A total of $32,000 was spent to fulfill the wish lists of all teams.

A good portion of the money has been collected for $10,000 Raffle attendees. There is still a wait list of attendees looking for a ticket. If you are someone you know is no longer interested in their ticket, please have them contact Chris Wessel ASAP.

Basketball concessions are still in need of an opener for the girls’ home games. Please consider offering your time.

February 6, 2017

Approval of Minutes and Treasurer’s Report

The January Minutes were reviewed and a motion was made by Andrea Tisch and seconded by Ed Fromm, voted and approved. Ron Young motioned to approve the January Treasurer’s Report, the motion was seconded by Andrea Tisch, voted and approved.

Special Guest – Billy Reno – Comedy Show Fundraiser

The group was contacted by Billy Reno (former UHS grad) offering a fundraiser held at Shelby Gardens. The fundraiser is a comedy show, the tickets would be sold for $50 each and the Booster Club would receive $20 back for each ticket sold. Although the group appreciated the opportunity, it was our feeling that since we currently just held a large event (10,000 Raffle) and have a Euchre Tournament approaching it was not the right timing for our group. We will keep the information he provided and revisit this event for next school year.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus shared some upcoming sporting events including a MAC basketball tournament and girls’ basketball at PHN this coming Friday. Unfortunately the boys’ team did not qualify this season.

The boys’ bowling team won Tri- County out of 40 teams. They have a possible chance of qualifying for States.

Girls swimming has an upcoming county meet.

Wrestling team hosting this Friday’s match.

Competitive Cheer has upcoming District meet held at Troy Athens.

Dance Team –

Still in pursuit of a girls’ track/cross country coach, but feel confident that a suitable candidate will be found prior to the first upcoming practice.

Lastly, he proudly shared that we had recent college signings for three of our athletes; Gabe Gabarino – Bowling State, Lindsey Lavelle and ?

New Business

Jeff Frick addressed the group with an idea of a two tiered pricing structure for next year’s $10,000 Raffle. In efforts to collect the money early we are going to offer an early bird discount. No checks will be accepted after a certain date giving time for the check to clear our bank account prior to the event. This event has been held for approximately 19 years with no recorded price increase in the last recent years. Mr. Fromm proposed some ideal wording that will be used to help create the flyer for next year’s event.

This upcoming football season the group will be looking for a Merchandise Parent to work the 5 home games. This position is responsible for setting up the tent, displaying the merchandise for sale and taking inventory at the end of each game and reordering as needed. If you know of anyone who may be interested, please have the contact one of the board members.

2018 will end the tenure of three of our dedicated board members; Chris Wessel – President, Wendy Balsamo – Vice President and Jeff Frick – Treasurer. If you are interested in holding a position on the board starting in school year 2018-2019 we would like to hear from you and start sharing information and details on how the group operates in order to help make that transition year as smooth as possible.

Tickets are on sale for our March 24th Euchre Tournament. There are 200 tickets available. If you are interested in attending, please contact Mark Moehlig for tickets or feel free to contact a member of the board.

Karen Holmes proposed ordering a large quantity of varsity letters at one time rather than ordering smaller amounts more often.

Upcoming football season the group is looking to have VIP seating raffled off for all homes games. Carol Gehrke is working on details to present to the group at the March meeting. Watch for more details to follow.

Also, the group has purchased two large blue recycle bins to be used at home events. Again, we will work out the details of we will be responsible for taking care of the cans, we are considering allowing respective teams to sign up for a specific event then they would be responsible to taking the cans for recycle but their team would keep the funds. Watch for more details to follow and always open to suggestions.

MARCH MINUTES

Utica High School Athletic Booster Club

March 6, 2017

Approval of Minutes and Treasurer’s Report

The February Minutes were reviewed and a motion was made by Ed Fromm and seconded by Lisa Fromm, voted and approved. Jackie Guitar motioned to approve the February Treasurer’s Report, the motion was seconded by Ang Micinski, voted and approved.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus was not in attendance of the meeting due to district games being held at Utica on the same evening.

The boys’ basketball team will play in Districts on Wed. The girls’ basketball team has been eliminated in Districts.

There will be a parent meeting on Thursday at 2:20 pm for those interested in the Clay Target Club. The club is open to existing 9th – 12th graders. For more information contact Mark Kosamce.

Annual Physical Fundraiser will be held on May 31st.

New Business/Old Business

The Senior All Night Party Committee approached the group asking a donation which the Booster Club traditionally gives. This year they will give $750.00 but they will request receipts for items purchased.

$10,000 Raffle – will revisit results next month.

Euchre Party, Friday March 24th. Tickets are still available. Please see Coach Moehlig or any of the Board Members.

Krystal Solomon – she has completed the new website. She is waiting on approval from Mr. Vigus and the group before she goes live with the site. It should be available soon, she has linked it to the existing URL so it will be easy to find no matter if you are using the old address or new to search for the site. There is a cost of approx. $140 - $160 annually for the domain. The group voted and approved this amount.

Jeff Frick coordinated with Mike at Buscemi’s and they will be providing the pizzas for the Euchre Party.

Carol Gehrke ordered the recycle bins to be used during upcoming seasons. They will be stored in the Booster closet until needed.

APRIL MINUTES

Utica High School Athletic Booster Club

April 10, 2017

Approval of Minutes and Treasurer’s Report

The March Minutes were reviewed and a motion was made by Jackie Guitar and seconded by Ed Fromm, voted and approved. The treasurer, Jeff Frick, was not present at the meeting so the March Treasurer Report will be presented at the April Meeting for review and approval.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus mentioned that the Boys Varsity Baseball team has had a win so far this season and are looking competitive. The JV Baseball team has been off to a rough start this season but plenty of games remaining.

The Lacrosse team has started the season with a 0-2 record.

The Girls Tennis team has a new coach, Mrs. Michols who is also the Boys Tennis coach during the fall. They have more players on the team than previous years.

The Girls Track team welcomes a new a coach, Utica Alumni Chris Scott.

The Girls Softball team will be holding a Social Night, more details to follow.

New Business

The UCS committee for the SOS 5k Run has approached the group for a $500.00 donation which the group has provided in previous years. A motion was made by Jackie Guitar and approved by Andrea Tisch, voted and passed.

The group is still looking to secure a parent/parents to handle merchandising for home football games. This coming season there will be 5 home games, ideally a couple of parents are needed to pull out the merchandise, set up, sell items and put away after the games. If you or someone you know would be interested in filling this position, please contact one of the Booster Club Board members.

Further discussions to be held regarding a proposed due date for collecting payment of $10,000 Raffle Tickets. The group requests Coach McDonald attend this discussion as it has been brought to our attention that he has opinions how this matter should be handled.

Scholarship applications are due to Mr. Perry in the counseling office by April 21st.

Old Business

The Euchre Party was a success profiting approximately $2,650. Thank you to all who attended. This year the profit was less than the previous year which was $3,200. The reason being that the group had expenses this year buying new chips, cards, we brought in additional pizzas and went through more beverages. There were some comments relating to the cost of 50/50 raffles and we will consider going back to arm’s length type sales next year than cost per raffle ticket.

A question was asked about Girls Powder Puff Football Game. No current plans are made at this time but if someone would like to arrange having one, Mr. Vigus will help coordinate plans.

May 8, 2017

Approval of Minutes and Treasurer’s Report

The April Minutes were reviewed and a motion was made by Ed Fromm and seconded by Jackie Guitar, voted and approved. Both the March and April Treasurer Reports were reviewed and a motion was made by Jackie Guitar and seconded by Karyn Holmes, voted and approved.

Athletic Director’s Report – Mr. Jim Vigus

Mr. Vigus shared the success of the Girls Tennis team winning their Division.

The Girls Softball team was having a rough season.

The Boys Track team lost their 1st dual meet in quite some time to Chippewa Valley by only a few points.

Baseball Team was improving as the season continued. Field in great shape!

The golf outing has about 80 people registered and will take place on May 21st.

The Lacrosse Team has a current record of 4 – 6. Girls Soccer team keeps making progress.

Mr. Vigus ended with introducing and welcoming some new coaches: Craig Hood and Jason Clark – Bowling and Dave Hinkle – Boys Varsity Basketball

New Business

We are need of someone to run concessions for District Soccer Game on Tues, May 30th and June 6th.

Below are the confirmed opener/closer volunteers for upcoming football concessions:

Varsity Football: Opener – Jackie Guitar / Closer – Andrea Tisch

JV Football: Opener – Naomi Kokochak / Closer – Crystal Soloman

Merchandise Table: Buyer – Andrea Tisch / Still looking for volunteer and closer to run the table during home games.

Scholarship Recipients: Alexis Burrows, Lyndsey Lavelle, Kathryn Seib, Danielle Kaschalk, Patrick O’Connor, Clay Holmes, Charles Fromm, David Frick. Congratulations to all!

$10,000 Raffle Payment Due Date for tickets will be January 5th which is one month prior to the event. There was a brief discussion of raising the cost of the tickets but after further discussions it was decided the price will remain the same based on two points: we have enough to cover our expenses and it is a great community fundraiser at a fair price. Concerns if we raised the cost, we would not be able to sell all the tickets.

The padded chairs for up top the press box for football season will be delivered soon. The Fallen Heros Soccer Game was a wonderful success!
