Meeting Minutes
10/5/15
Opening
The regular meeting of the Utica High School Athletic Boosters was called to order at 7:06pm on October 5th, 2015 at Utica High School ECC room by Chris Wessel.
Welcome
Chris welcomed all in attendance.
Approval of Meeting Minutes
This is the first meeting of the year so therefore there were no minutes to approve this month.
Approval of Treasurer’s report
Jeff Frick presented the current Treasurer’s Report. Jeff reported that August was a slow month and September was busier. 4 of the 5 scholarships have been paid. There is one payment left for the weight room. It is due next fall totaling $8,249.00. A question was asked about paying that payment early to avoid interest fees. Jeff will check and report next month on that. Approval to accept was made by Ed Fromm and Ron Young.
Athletic Directors Report
Jim reported that the tennis team won the Mac White. He is requesting $200.00 for Mac White patches. Also is requesting that we pay $675 for the payment of the Swim Board. Mike Kaschalk and Ed Fromm motioned to accept. Jim presented that he would like to request $462.38 for athletic awards, $865.50 for Varsity letters, patches and certificates along with $244.50 for all sports patches and certificates. Jackie Guitar and Andrea Tisch motioned to accept. Soccer will have additional concessions the 19th, 21st and 24th of October. Girls Basketball will host districts. We received a thank you for the Boosters donation to the Cole family for the loss of their daughter Annjenette. The Powder Puff game will be held in the spring. Utica girls will vs Ike in the spring and Utica will host concessions this year. We hope for this to be an annual event with concessions alternating every other year.
New business
Kim Thompson said that Ike has proposed adding a possible cooler to hold water and Gatorade in the main concessions stand at Sweinheart. The approx price will be $2-$3,000 and the split would be 60% Ike and 40% us. She will update as new details become available. This will cut way back on the ice bill that to date is just over $1,000 dollars for this fall alone. She also mentioned that we need to obtain licenses for any 50/50 drawings in the future. Chris Wessel will apply for them as soon as she knows the dates of the Football games next year.
10,000 Raffle update
Chris Wessel has reported that letters are being sent out with the hopes to collect money earlier. This will make the job of the organizers easier. A wait list will be passed around at the upcoming meetings to try to keep all tickets sold and less scrambling to sell unwanted tickets at the week of the event.
Athletic happenings/booster web page update
Sheri Townsend is looking for someone to take over the web page for next year as her daughter will graduate in the spring. A question was asked as to who heads up Utica High twitter and Facebook. It was mentioned that Mr. Lietz is in charge of it but no one was able to confirm this. It was mentioned that Mr. Smale is in the process of updating the Utica website. Sheri would like to coordinate with Mr. Smale regarding scores and other pertinent information.
Open to the floor
There was a question regarding scholarships that the Boosters provide. Kim explained how the scholarships work. Sheri Townsend will be updating once all information on qualifications and due dates soon.

November 3, 2014
The regular meeting of the Utica High School Athletic Boosters was called to order at
7:00pm on November 3, 2014 at Utica High School by Kim Thompson.
Kim welcomed all in attendance. New member (Denise Byrne) welcomed and

Minutes were reviewed and approval made to accept by Theresa Anderson and Sandra
Jeff Frick presented the Treasurer’s Reports for October. Questions were answered.
Treasurer’s Report was reviewed by all. Approval to accept was made by Craig Hood
Accomplishment Banners will be installed 11/4 and we will take a trip to the gym at the
December Meeting to view the banners.
Jim gave updates on current sports:
· Fall Sports officially closed
· Volleyball lost but placed 2nd in Division. “Pat on the
back” to Coach LaPratt, who has come a long way!
· Tennis won MAC White
· Varsity Football ended up 2W-7L
· Winter Sports start 12/10. Boys/Girls Basketball, Boys
Swim, Competitive Cheer
· Hockey started today.
Jim reiterated that Concessions’ sales benefit ALL Sports, and that the reason we utilize
students and parents from other sports to help with concessions during football games
and basketball game is because those sports bring in the most business.
Discussion was made regarding winterizing the concession stands. Jeff stated that Pepsi
has already winterized their machines. Jeff also stated that we have a $550 credit from
Pepsi for the Spring as we returned 6 Syrups and 3 CO2 containers.
Volleyball parents requested a new popcorn machine as their old machine makes poor
quality popcorn. Kim Thompson stated that Volleyball parents could use the 2nd popcorn
machine from the Football Concession stand.
Sheri Townsend asked the Board when she could post meeting minutes. It was decided
that Sandy will send the minutes to the other Board members, who will, in turn, approve
them and allow Sheri to post them on the Athletic Happenings page.
Athletic Happenings has a Facebook Page and is also accessible from the Utica High
School webpage main menuàUHS Athletic Boosters. All postings must be approved by
a Board member before being posted.
Parents are encouraged to send sports information to UHSAthleticBoosters@gmail.com
prior to posting on the Utica Athletic Boosters Facebook page.
The Annual Euchre Tournament will take place on Friday, April 17th. Location TBD.
Members are encouraged to make gift baskets for raffles (it’s never too early to plan!).
Cost will be $25 per person, which includes appetizers, beer/wine/soft drinks, desserts,
Coaches’ Wish-listsà due by November 21st.
Wish Lists will be minimal this year due to the purchase/building of the new weight
*Exception to that will be the purchase of a new Wrestling Mat. The mat will be paid for
partially by fundraising by Mr. Davis, partially by Mr.Vigus, partially by Board office.
The Boosters will be asked to donate a portion of the cost (no specific amount at this
time). This is an important purchase and will provide more safety for the wrestlers and

Chris Wessel sent out letters to current ticket holders. There is a deadline of 12/20 for
current ticket holders to respond/pay for their tickets.
Tickets MAY become available. Please see Chris Wessel to be placed on the waiting list,
Tickets are available for $30 per person if you would like to join in on the fun, play
Bingo, purchase 50/50 Raffle Tickets, enjoy great food and drinks.
The $30 ticket will NOT be included in the $10,000 Raffle.
Question was posed in regard to the Coaches Wish List/Football Blocking Sled. Jim
explained that the blocking sled was purchased from last year’s wish list.

Opening
The regular meeting of the Utica High School Athletic Boosters was called to order at 7:05pm on May 5, 2014 at Utica High School by Kim Thompson.

April Meeting Minutes were approved by Stephanie Vallie and Sheri Townsend.
Approval of Treasurer’s Report
The Treasurer’s Report was reviewed and approved by Stephanie Vallie and Chris Wessel.
Athletic Director’s Report
Accomplishment Banners-“They’re coming!” Jim stated that the banners should be in place in 2-3 weeks.
Jim gave updates on current Spring Sports and mentioned that the Track Teams’ Mascot Race went well and all had fun.
Jim gave a reminder that Sports’ Physicals @ UHS will be May 28th from 6-7:30 pm. Cost is $20 per student. Jim will have Mrs. Jones place a “robo-call” to remind parents, will place a notice on the Marquee and will contact the Junior High School Principals.
There are 3 more dates for Concessions that Jim would like the Boosters’ to run.
The City Wide Track Meet for 8th Grade
The SOS Run for Junior High School Sports on 5/31.
District’s Boys’ Baseball on 5/27 @ 4:30 pm and 5/31 @ 10am, Noon, and 2pm. Utica is hosting this event this year and UHS receives 30% of the Gate. Admission is $5.00. The concessions stand in the back of the school will be utilized for this event.
Unanimous approval was given for the Boosters’ to donate $500.00 to the SOS Run for Junior High School Sports.

Sheri Townsend continues to do a fabulous job. There are currently 299 people on the e-mail list!

Chris Wessel (still unsure if I have the last name correct) from Shelby Junior High School was nominated by Wendy Balsamo to be Vice President of the Booster’s Club for the next school year. The nomination was seconded by Michele Campbell.
Jeff Frick will stay on as Treasurer and Sandra Beattie will stay on as Secretary if no one else is interested in filling those positions.
Kim Thompson has stated that she will stay on as President if no one would like to fill that position.
Voting will take place for officers at the May Boosters’ Meeting.
Brianna Peabody – Brianna graduated from UHS 5 years ago and is looking to qualify for the Olympics and is requesting donations to help with travel and other expenses. It was unanimously decided that the Utica Athletic Boosters would not donate money to a previous student, as it is our mission to raise money for current UHS Athletes.

be in the amount of $500.00, which cannot be used on expenses such as

for one boy and $100 for one girl out of the 8 Scholarship recipients in honor

The regular meeting of the Utica High School Athletic Boosters was called to order
at 7:01pm on March 3, 2014 at Utica High School by Jeff Frick. Kim Thompson was

The Treasurer’s Report was reviewed and approved. Jeff explained that the Basketball
Lottery must be run through the Boosters’ Club as the district will not allow the
Basketball Team to run it on their own.
A summary of the $10,000 Raffle was provided by Jeff to show the difference between
2013 and 2014 due to change in venue. The total profit from the raffle was $452.69.
Treasurer’s Report was approved by Ron Young and Therese Mancini.
Jim Vigus spent a moment acknowledging two past Booster’s members who have
recently passed away. Susan Krol was the secretary of the Boosters’ at one time, and
Marc VanGheluwes was an active member who started the Euchre Tournament. Both
Jim recapped some teams’ recent accomplishments. Girls’ Basketball lost the district to
Ford by 1 point. Romeo won the District. We are holding Regionals at Utica Wednesday
and Thursday and need volunteers for concessions.

Wrestling-Sam Mason attended the State Tournament and Kyle Walker went to

Accomplishment Banners will be placed in the Main Gym and Sportsmanship Banners in
the Training Room. Boys’ Basketball won Sportsmanship this year.

had Utica teams’ schedules. Jim stated that they are made in the Fall by Big

The regular meeting of the Utica High School Athletic Boosters was called to order at 7:08pm on February 3, 2014 at Utica High School by Kim Thompson.January’s Meeting Minutes were reviewed by members and approved by Sheri Townsend The Treasurer’s Report for January 2014 was distributed by Jeff Frick for members’ review. Jeff explained the $249.00 payment to Macomb-Gerlach Insurance Agency, stating that it is bonding the Boosters’ money in the event that someone in the Booster’s is dishonest. Kim stated that there are approximately 20-22 teams/clubs and mentioned that we could possibly divide the teams (alphabetically) and rotate teams every three years for funding for a pre-determined amount of money for soft goods. The regular meeting of the Utica High School Athletic Boosters was called to order at 7:06pm on January 21, 2014 at Utica High School by Kim Thompson.
Kim Thompson welcomed new members.December’s Meeting Minutes were reviewed by members and approved by Diann The Treasurer’s Report for December 2013 was distributed by Jeff Frick for members’ review. Treasurer’s Report was approved by Sherri Townsend and Therese Mancini.
Jim Vigus was not in attendance due to another commitment. Jeff Frick stated that he had spoken to Jim and Jim had said that he was available by phone if anyone needed to contact him.Kim Thompson stated that Accomplishment Banners are close to being placed in the Sherri Townsend has added Instagram to the Athletic Happenings page and encourages all parents to submit pictures and scores/updates to her for the Athletic Happenings. 1. Poker Nights: Kim Thompson gave an update on River Casino’s Poker Nights. She stated that the recent 4 days at the casino went well. Jeff stated that teams made $458 each shift. It is questionable if we have anymore upcoming dates until October. An officer (coach or Boosters’ Board Member) must be in attendance at all times if we are scheduled.

December 2, 2013
Opening
The regular meeting of the Utica High School Athletic Boosters was called to order at 7:06pm on December 2, 2013 at Utica High School by Kim Thompson.
Welcome
Kim Thompson welcomed new members.
Apologies were made for the lack of copies of minutes from the November meeting and this meeting’s agenda. The copy machine was removed from the ECC room and we were not made aware of this move. A copy of November Meeting minutes was passed among those present and minutes were approved by Dennis Suszynski and Therese Mancini
Approval of Treasurer’s Report
The Treasurer’s Report for November 2013 was distributed by Jeff Frick for members’ review. Treasurer’s Report was approved by Janice Lavelle and seconded by Stephanie Vallie.
Athletic Director’s Report
1) Jim Vigus stated that Winter Sports were underway and all tryouts were complete.
2) Hockey Team’s record so far is 2-3.
3) UHS has a new “team”. We will have Sideline Cheer at home Boys’ Varsity Basketball games and at District Games. Michelle Franzen will be coaching Sideline Cheer. Jim is hopeful that this will add excitement and increase attendance at the games. The goal will be to add Sideline Cheer to JV games next year.
4) Jim stated that help is needed for concessions at the basketball games. Kim stated she can open the concessions, but needs someone to close the concessions after the games. We need at least 1 person to close for JV and 2 for Varsity games.
5) Accomplishment Banners are nearly ready to go up! Delay was due to the fact that they needed to be condensed to save space.
6) Athletic Boosters’ webpage has 260 people on the e-mail list according to Sheri Townsend (who has done a great job! Thank you!). Parents are encouraged to send updates and scores to Sheri to post.
7) Jim mentioned that he will look into the price of new basket mechanism for the Main Gym. He will also contact the district regarding lights being replaced.
8) Mr. Vigus mentioned that there have been questions from parents as to which students are chosen to play Varsity Sports. Jim reiterated that he leaves that decision up to the coaches and that he supports whatever decision the coaches make.
Old Business
1. Poker Nights: No new updates, although it was stated again that State Laws have changed. An officer (coach or Boosters’ Board Member) must be in attendance at all times if we are scheduled. Law changes were made due to false charities and improperly run casinos.
2. $10,000 Raffle- Will be held at Palazzo Grande on February 6, 2014. Ticket price is $150.00 and will admit 2 people. Price is $150/ticket for 2 people. Includes Hors d’oeuvres, Desserts Drinks, Bar, Reverse Raffle, 50/50, Bingo and FUN! We have decided to sell separate tickets for people who would like to attend but who would not be qualified for the $10,000 raffle. Price will be $30/ticket. If anyone is interested in purchasing tickets for the $10,000 raffle ($150/2ppl), please contact Kim Thompson to be placed on the waiting list.
New Business
1) Michelle Franzen spoke on the new Sideline Cheer Team. Michelle states that the girls are very excited. Girls who couldn’t commit to competitive cheer due to school/work schedules are now able to cheer. The team consists of 5 Juniors and 1 Senior. Michelle also stated that Qdoba Restaurant is interested in being a sponsor. Jim Vigus stated he will discuss the possibility with Mr. Dilday (the AD for all of UCS).
2) Coaches’ Wish Lists:
Mr. Vigus read each coach’s wish list and votes were made as follows:
Track: Booster, 3 foam rollers. Total cost $270.00. Unanimous vote to approve.
Wrestling: 2 dummies (1 small @$275 /1 large@ $325) and Bulgarian Training Bags. Total cost $1047. Unanimous vote to approve.
Football: 2 man blocking sled-$3854.00, Huddling Video $800.00, Recondition Headsets-$285. Total cost $4954. Unanimous vote to approve.
Lacrosse: Ladder, stopwatches, misc. Total cost $481.00. Unanimous vote to approve.
Baseball: Upgrade Batting Cage, sports turf with pad. Coach Malig will do fundraising. Asked Boosters for $5700. Unanimous vote to approve.
Hockey: 100 pucks, miscellaneous items. Total cost $700. Unanimous vote to approve.
Softball: Wiffle balls, miscellaneous items. Total cost $657. Unanimous vote to approve.
Soccer (Boys and Girls): Handycam, replacement net, misc. Total cost $2180. Unanimous vote to approve.
Dance: New bins for storage, mesh bags. Total cost $50.00. Unanimous vote to approve.
Sideline Cheer: 16 Poms. Total cost $144. Unanimous vote to approve.

Meeting Minutes
October 7, 2013
The regular meeting of the Utica High School Athletic Boosters was called to order at
7pm on October 7, 2013 at Utica High School by Kim Thompson.
Kim Thompson welcomed new members and introductions were made.
There were no minutes from the last meeting to approve.
Approval of Treasurer’s Report
The Treasurer’s Report for August and September 2013 were distributed by Jeff Frick for
Athletic Scholarships were discussed. Jeff Frick stated that $2500.00 has been paid
out so far for the year and there are 2 left to be paid. Kim Thompson explained that the
scholarships are offered to UHS Seniors who participate in any athletics. She stated there
are scholarships available for 4 boys and 4 girls. A criterion for a student to be eligible
1) Student must have at least a 2.8 GPA
2) Student must write an essay
3) Parent(s) of the student must attend at least two Boosters’ Meetings and volunteer

1) Discussion regarding Jets’ Pizza and dates for 10% of sales on specific dates
ensued. Jim Vigus stated he would have dates posted on UHS Marque and

6) Athletic Happenings: Sheri Townsend is in charge of the website and request that
parents, coaches or students report the scores from games. She is also looking
into a link to the website for iPhones/androids.
7) Accomplishment Banners-Jim Vigus stated that we have the logos and are waiting
8) Fundraising; Kim explained that we need paperwork filled out for any fundraiser.
Fundraisers have to be approved by the Executive Board as we need to have a
paper-trail for the Treasurer.
9) Janice Lavelle mentioned the possibility of a Fundraiser for the Senior All Night
Party or the Boosters. Fundraiser would be “Drive for your School” and is
sponsored by an Automobile Dealership. Janice has a meeting with Suburban
Ford and will relay information at the next meeting.
10) Casino Dates: Discussion regarding dates (we have 12 more for 2013, 4 in
November). We will need to become 501C3 for tax purposes. Coaches will be e-
mailed for dates/volunteers.
11) Lacrosse: Ford and Utica each have their own Varsity Lacrosse Teams. Spring
Season. Conditioning will start after Thanksgiving (2 days/week) with 2 days of
12) Marc Maday, Vice President, was not able to attend tonight’s meeting due to
family obligations. Marc spoke to Kim about resigning his position as VP. Kim
asked if anyone would be interested in filling the position of VP for the remainder
of this school year, to please see her after the meeting.

5) Jim also reported that there will be a Wine Tasting fundraiser for the Charlie
Sanders Foundation – Have a Heart, Save a Life, at the Fieldstone Winery in
Rochester on October 16th
