To transfer a member from your Chapter to another Chapter/Area using OGD

Transferring a member's OGD record helps keep the member's details as he/she moves to the new Chapter/Area. This way, the receiving Chapter/Area does not need to encode the member's details.

(To transfer members to another ministry (for example, CFC to HOLD), use the Transitions option.)

To transfer members to another chapter, use the Transfers option.

  • Click Member Database tab.

  • Click Transfers button.

  • Under OUTGOING section, click Add button.

  • You will see the Add New Transfer screen.

    • In the Transfer To box

      • Click x to clear the current information.

      • If you will transfer members to another country/region, you need to search for the receiving Chapter (or Cluster or Area/Sector). Type in the name of the Chapter or its city. OGD then displays some options. Select the correct Chapter (or the next best option). It would be good to confirm your selection with the receiving Chapter before you do the actual record transfer.

        • What we want to avoid is to transfer the OGD records to the wrong country/region.

      • If you will transfer members to another Chapter in your same Area/Sector, type in the Area/Sector name (usually abbreviated) of the receiving Chapter. OGD then displays the Chapters in that Area/Sector.

      • Scroll down the list and select the destination or receiving Chapter. In case you do not see the chapter name in the list, try typing in the chapter name following the naming convention that you see in the chapter list.

      • Select the new Chapter (or receiving Chapter) of the member.

          • If you see the same chapter name, click x to clear the box and type in your Area/Sector name again. Select the correct chapter name. The intention is to move the member(s) to another chapter. Therefore, the chapter name must be different.

    • In the Members to transfer box, select the members to transfer.

      • Type the surname to see the names of the couple you will transfer.

      • Click on the name.

      • Notice that the cursor (vertical bar) is at the right side of the name (shaded out).

      • You can type in more names of members you need to transfer. Click on the name. Repeat the steps until you have all the names of members who need to transfer. The cursor moves down as you add more names.

      • To remove a name in the list, click the x at the left side of that name.

      • To remove the entire list, click the x at the right side of the list and start over.

    • In the Notes box, put in your notes as needed.

    • Click Save.

    • You will see a new entry with a Status of Pending.

    • Review the details -- Chapter name, list of members, and notes,

    • If you need to make changes, click on the date for that entry.

      • This loads the Edit Transfer screen showing the same items described above.

      • Make your changes and click Save Changes.

        • Click Cancel to discard the changes.

        • If needed, click Delete to delete the transfer request and start over.

Receiving Chapter

  • The receiving Chapter Head will accept the member into their Chapter's OGD database.

    • In the Incoming section, click ACCEPT to add the transferred members into the chapter OGD.

  • Once the transfer has been accepted by the receiving Chapter

    • You cannot make changes anymore. You can only request the receiving Chapter to send you back those members or to transfer them to the correct Chapter.

    • The transfer record's Status changes from Pending to approved by <OGD account name> on <date and time>.

  • Go back to the Members Database screen, click Members Database at the top menu. Review the records of the newly transferred members.
