Policies

Due to health and safety concerns, pets may not come to school.  We ask that parents do not bring pets onto school grounds at the beginning and end of the school day for the same reasons.


ARRIVAL & DISMISSAL PROCEURES

STUDENTS RIDING IN CARS


Parents are asked to use the hug and go drop off zone when releasing children from cars.  Drivers are asked to remain in their car while using the hug and go zone.   We would be happy to assist you in getting your children out of the car and safely to the curb. 

If you would like to walk your child to the curb or the building, please park your car in the spaces provided in the South parking lot and use the crosswalks as indicated.

During dismissal, cones will be placed along the curb at the front of the school to indicate a loading zone.  Students will be asked to step back from the curb until their car enters into the loading zone.  Students will not be allowed to go beyond the cones to find their cars.  Again, we will provide assistance, as needed, for students who need help getting into the car.  Drivers are asked to remain in the car.

Once all students are loaded into their cars in the loading zone, the crossing guard will allow the zone to leave the parking lot and then next group of cars to enter the zone.  If your child has not loaded in time, you may be asked to move forward into the zone or to loop around to the end of the line of cars.  This should prevent cars from holding up traffic.

STUDENTS WHO WALK TO SCHOOL

Students who walk to school may either come down the sidewalk at the back of the school or the one at the front of the school.  Walkers will be asked to wait outside until the bell rings at 9:00.  Students who ride their bikes to school should secure their bike at the front of the building.

BUS/DAYCARE VAN RIDERS

Students who ride school buses or daycare vans will enter the back parking lot.  They will be released from their buses at 9:00 a.m. and will report directly to their classrooms through the entrance at the back of the school.

Students will be trained on the arrival and dismissal procedures on the first day of school.

ASSESSMENT

Teachers use a variety of formal and informal measures to assess students' needs and guide their instruction.  These include, but are not limited to, reading inventories, timed tests, writing samples, and pre/post tests.  Teachers collect student work to compile a body of evidence in the areas of reading, writing and math.  Teachers use the Elementary Progress report to communicate with students and parents about proficiency in these areas.  Work habits, study skills and behavior are also reported.

ATTENDANCE

ABSENCES

Regular attendance is essential for success at school.  Our goal is for every student to attend school 96% of the time, which means missing a total of seven or fewer days during the school year.  Most subjects are taught in sequence, requiring the understanding of each concept in the order of its presentation.  It is difficult for a child to make up a day's learning even though the missed assignments have been completed.  The discussions and activities that take place in the classroom are often as important as the written material.  Students should be absent only in cases of illness or emergency.

If your child will be absent, please call the school attendance line.

We are required to verify absences that are not reported.  Home and work phone numbers will be called.  Please help us with this procedure by calling in your child's absence as soon as possible.  Students will be given time to make up work missed during their absence.

It is important that children arrive on time for school.  Children are considered tardy at 9:20 a.m.  A "tardy" child not only disrupts the class when arriving late, he/she also misses settling-in time when the teacher collects work, sets the tone for the day, and gives directions for activities.  When it is unavoidable and a child is tardy, he/she must sign in at the office before going to class.  The office will make sure the child is counted for lunch as well as remove him/her from the absence list.  The child also needs to take an admit slip to the teacher.

EXTENDED ABSENCES

If a parent informs the teacher that the student will be missing school for three days or more for a planned event (e.g., vacation, family reunion), the teacher can indicate what work the child must complete in order for this to be considered an excused absence.  The teacher is not required to replicate the learning experiences that will be covered in the classroom.  Tasks such as completing a book with a response log, maintaining a written journal and completing math assignments may be given.

DISMISSAL FROM SCHOOL DURING THE SCHOOL DAY

Parents may request that students be excused from school prior to dismissal.  Parents are asked to send a note stating who will be picking up their child and at what time.  If a parent/designee is unfamiliar to the front office staff, he/she will be asked to show identification.  Parents/Designees are to sign students out at the office and not the classroom.  The office will then call the classroom requesting the teacher to send the child to the office.

BOOK/MATERIAL FEE

Each child has a $10 book and materials fee.  This amount is established by our Board of Education and reviewed annually.

CARE OF PROPERTY

Students are held responsible for the loss of, or damage to, textbooks, library books, and school property.  According to District policy, the full cost of these items will be collected.  All school books checked out for students to use at home should be covered and carried in a backpack.

CELL PHONES

Cell phones are to remain off during the school day and must stay inside the child's backpack.  If this policy is not followed, the teacher may confiscate the phone and ask the parent to pick the phone up from school.

CHECKS

Although we do accept cash, for safety and accounting purposes, we prefer that parents only send checks to school.  We ask that parents send separate checks for each child and each purpose.  Checks should be made payable to Sage Canyon Elementary.  Lunch checks should include the student's name and account number.  All other checks should include the student's name and the purpose of the check (e.g., field trip, book order, spirit wear).

COLORADO STUDENTS ASSESSMENT PROGRAM (CSAP)

The state of Colorado has implemented an assessment program to monitor individual students and school districts in the implementation of the Colorado State Standards.  In elementary school, students in grades 3-6 complete assessments in reading, writing and math.  Fifth grade students also complete a science assessment.  Individual CSAP results are shared with students, mailed to parents and monitored by teachers.  The school uses the data to develop school improvement goals and evaluate school programming decisions.

COMMUNICATION BETWEEN SCHOOL AND HOME

We believe that communication between school and home is vital.  To support this belief, we use numerous methods to keep the flow going both ways:

NEWSLETTERS

You will receive a school newsletter on the first Thursday of each month.  The school newsletters will be posted on our school website as well.  Teachers will send a monthly newsletter either in the Thursday folder or by email.  Please contact your child's teacher to find out which method he/she will be using.  In addition, each classroom teacher maintains a classroom website with useful information.

PHONE

Teacher's voice mail is active 24 hours a day and parent may call the number at any time.  While each classroom has a phone, calls do not ring through during the school day.  Each teacher will have a customized message on their voice mail indicating the best way to contact him/her.  Teachers will return messages within 24 hours.

To help students learn responsibility and plan ahead, we let them use the telephone only for urgent problems.  Calls home for permission to play at a friend's house after school will not be allowed.

Should unforeseen circumstances arise, parents may call the school office before 3:30 p.m. and leave a message for their child.  These messages will be delivered during the last 20 minutes of the school day.

Parents may contact staff through e-mail.  Douglas County School employee e-mail addresses follow this pattern: first.last@dcsdk12.org.  During the work week, staff read their e-mail at least once per day and respond within 24 hours.

THURSDAY FOLDERSSchoolCenter Picture

Each student will have a folder to take home each Thursday work and other communications that were not sent electronically.  The first Thursday folder is provided at no cost.  If a replacement folder becomes necessary, they are available in the front office for $1.

DRESS CODE

Modesty, cleanliness, neatness and appropriateness are the standards, which should be observed by all students in their personal dress and grooming.  Each student is expected to follow these guidelines:

HAIR

Hair should be clean and neatly groomed.  Any extreme hair style that disrupts normal school procedures will not be allowed.  Hats, caps, or visors may be work outside only.

See-through, mesh clothing, halter tops, oversized tops, tube tops, strapless tops, spaghetti strap tops, low-cut blouses or shirts, or any other clothing which might reveal a large portion of the body are not allowed.  Bare midriffs are not to be shown.

Students are permitted to wear shorts, skorts, skirts, and dresses that are fingertip length.  Low-rider, baggy, or oversized pants are not allowed.  If a child sits on the floor his or her pants should not expose the upper area of the bottom or reveal underwear.

No shoe taps, skate-shoes (heelies), or bare feet are allowed.  Students need to wear appropriate footwear for gym class and for cold weather.

MISCELLANEOUS

Wallet chains, watch chains, or chains of any kind hanging from pants or shirts are prohibited (this does not include normal jewelry chains).  Earrings/ear jewelry worn on the ear is permitted.  Other attached body jewelry such as nose studs, nose rings, eyebrow rings or any other attached body jewelry items are not allowed.

Clothing that contains pictures, emblems, or writings that are suggestive, lewd, offensive, vulgar, or obscene, that advertise or depict tobacco products, alcoholic beverages, drugs, or any other substances that are associated with gangs, or that promote racism are prohibited under District policy.

"Special Days" on which special dress is permitted will be designated by the principal (e.g., "Hat Day").

VIOLATION OF DRESS CODE

If the principal determines that a student's grooming violates the dress code or presents a safety concern, the student will be given an opportunity to correct the problem by having a parent or designee bring an acceptable change of clothing to school.  The student will remain in the office until appropriate clothing arrives.  The student will return to the class once he/she is wearing acceptable clothing.

One simple guideline to consider: if you are questioning whether apparel might be unacceptable, don't wear it to school.  Each year there are a few things, including some "fads", that appear at school.  These are not listed nor do these regulations cover all problems that may arise.  When any "fad" creates a disruption to the learning environment, the school administrator will follow the steps listed above. 




FILM RESOURCES

Douglas County School District's policy regarding the use of film includes these salient points:

*The use of film resources solely for entertainment purposes during instructional  time is not acceptable-films must have an educational purpose

*G films may be shown to all grade levels

*PG films may be shown to fourth, fifth, and sixth graders if parent permission is given

*If the rating of a film is unknown, the film may not be shown

FIELD TRIPSSchoolCenter Picture

Teachers may schedule field trips that enhance classroom learning.  Parents cover the cost of these trips including the transportation department's established bus fee as well as admission cost at the venue.

HOMEWORK POLICY

Homework has two important purposes:

• to provide students with independent practice and supplemental learning opportunities

• to provide opportunities for vital parent-school partnerships

Our reasons for assigning homework on a regular basis are to

• increase learning time

• improve retention of learning

• promote development of study skills, including time management

• develop a student's sense of responsibility and self-discipline

• inform parents about the curricula and of their child's progress

Homework

• can be unfinished schoolwork, in addition to specific homework assignments

• can be work that is directed toward a project

• can be work that extends a unit or lesson

• should be clear and specific so that students can complete the assignment

• is evaluated within two days of the due date

• is not busy work

• will not be assigned on weekends or over vacation time

The time spent at home will vary from student to student depending upon organizational ability, work habits, aptitude for particular subjects, and grade level.  The following time frames are maximum guidelines for the nights when homework is assigned (in addition to time spent completing unfinished school work):

Kindergarten 10 minutes   First Grade 20 minutes

Second Grade   30 minutes Third Grade 40 minutes

Fourth Grade 50 minutes Fifth Grade   50 minutes

Sixth Grade 60 minutes

Daily independent reading is the top homework priority and half of the allotted time should be spent on this activity.

Homework Responsibilities:

Student:

• take responsibility for completion of homework

• take responsibility for understanding assignment and asking questions when needed

• use planner to record homework assignments (grades 3-6)

• take all necessary materials home

• bring finished work to school and turn it in

• establish a homework schedule and routine with family

Teacher:

• consider the unique needs of each student

• provide a system for feedback on homework assignments

• inform students of assigned work, due dates, and expectations

• make sure each student understands the assignment

• encourage students' efforts in completing homework and be sensitive to problems and frustrations

• does not ask parents to play a formal instructional role

• consider impact of long term projects on daily homework assignments

• communicate with parents regarding concerns or problems

• communicate classroom homework expectations

Parent:

• provide a workspace and schedule for the completion of homework

• provide feedback and encouragement

• avoid doing homework for your child or assuming responsibility for unfinished homework

• encourage your child's effort in completing homework and be sensitive to problems and frustrations

• give permission to stop if your child is overly frustrated

• communicate with teacher regarding concerns or problems

• reinforce skills learned at school in the home environment


KEEPING CHILDREN AFTER SCHOOL

As most of our students ride the bus or are picked up by parents, it is crucial that prior arrangements are made between teacher and parents, and that transportation is provided by the parent or designee.

LOST AND FOUND

Children's personal items (coats, gloves, backpacks, etc.) should be clearly marked for identification.  The Lost and Found is located in the cupboards in the cafeteria.  At the end of each trimester, lost items will be displayed to assist students in claiming them.  Unclaimed items are then donated to charity.  Small items such as glasses, jewelry, keys, etc., are kept in the school office. 

LUNCH PROGRAM

Automated phone calls are made when lunch account balances fall below $5.  Look for more information about the lunch program under the LUNCH PROGRAM link above.

Please come and have lunch with your child.  Parents are welcome!  So that we have an accurate count of the lunches to be prepared that day, please call the school office by 9:30 a.m. to let us know you will be eating a school lunch.

Students may pay cash for lunch or just milk.  Every child also has an account number they memorize and keep confidential.  Any amount of money can be deposited into this account.  Every time the child goes through the lunch line, this account is automatically debited.  To pay for lunches using a credit card, please follow the lunch program link above.

Students may bring lunch from home, including a beverage.  They may also buy milk at school.  Food should be ready to eat as we cannot microwave or prepare any food for students.

We have a peanut-free table in the cafeteria.  Please notify the school office and the classroom teacher if your child has this need.

SchoolCenter PictureMEDICATION POLICY

Public schools are governed by strict laws and rules regarding the dispensing of any kind of medication at school.  Parents whose children require medication must provide the school with a form (available in the school office) signed by their doctor that specifies exactly what medication and what dosage the child is to receive.  All medication is kept in the school office under lock and key and is dispensed only by trained office personnel.  The office keeps a log of all medication dispensed at school and will notify parents when a child's prescription is running low.  Students are not to bring any kind of prescription or over-the-counter medication from home other than a single day's supply of cough drops.

Tylenol can be administered by the school office if parents have signed a release form and only if the child is not running a fever.  Whenever a child is running a fever (a temperature of 100 degrees or more), parents are contacted and expected to pick up their child.  Our school health room is managed by our health room assistant who has received limited training.  She is not a nurse and cannot diagnose medical problems.  A nurse consultant oversees the training of our office staff and student health records.  She comes to Sage Canyon Elementary periodically for these purposes.

PARENT ORGANIZATIONS

The Sage Canyon Parent Teacher Organization is a chapter of the Douglas County Educational Foundation (DCEF).  The purpose of the PTO is to promote positive relationships between our parents, students, and staff.  This organization will also sponsor school events and fundraise for school projects.

The Sage Canyon School Accountability Committee (SAC) is comprised of parents and staff who assist in defining Sage Canyon's school improvement goals, monitor school safety and develop plans to increase student achievment.

Both the PTO and the SAC will recruit membership and elect officers at the beginning of each school year.  The PTO will meet monthy during the school year.  The SAC will meet a minimum of 4 times throughout the school year.

PARENT /TEACHER CONFERENCES

Parent teacher conferences are held three times per year in August, November and March.  If you have any questions or concerns regarding your child's academic performance at other times throughout the year we strongly encourage you to contact your child's teacher.  We encourage you to take an active roll in your child's education and we welcome your communication with us.

If you are unable to attend a scheduled conference, a phone conference can be scheduled.  Parents may also meet with a teacher at any other time during the year upon request.

PARENT VISITATION

Our parents have an open invitation to visit the classrooms of their children.  Volunteering is always appreciated as well.

PARTIES-BIRTHDAY/CLASSROOM/SCHOOLSchoolCenter Picture

School parties are kept to a minimum.  The annual school parties will include Harvest Day (October), Polar Express Day(December) and Valentine's Day(February).  These parties are arranged by the teacher with the help of parent volunteers.  The parties will last up to one hour.  If you have objections to your child participating in any aspect of these parties, please contact the teacher for special arrangements.

Please limit birthday treats to "quick and easy" five minute snacks (e.g., cookies, rice krispie treats, brownies).  Beveraged are discouraged. NO red or orange drinks are to be brought to school for parties or activities.  These colors do not come out of the carpet when spilled.  If you are planning to bring a treat for the class on your child's birthday, please let the teacher know in advance to ensure that there are no children with food allergies affected by your food choice.

Invitations to private parties are not to be distributed at school, unless all members of the students' class are invited.  By law and District policy, we are unable to provide parents with names, addresses, or phone numbers without prior permission.  Sage Canyon will publish a school directory once a year.  Inclusion in the directory is voluntary.


PLANNERS

Planners are used for listing daily work assignments for students in grades three through six.  Teachers and parents can also use the planner as a communication tool about behavior or work habits.  Each student is encouraged to purchase a school planner at the start of the year.  Replacement planners are available at the purchase price from the front office.

REGISTRATION/WITHDRAWAL OF STUDENTS

REGISTRATION

When a student enrolls at Sage Canyon Elementary, all paperwork must be completed before the student may begin attending.  Required paperwork includes a pupil registration form, authorization to release records from the previous school, and copies of (1) proof of residency (either signed warranty deed or lease), (2) birth certificate, and (3) immunization records.  Please do not expect to register your child and have him/her start school on the same day.  We need 24 hours to allow the teacher time to prepare a desk, chair and other classroom materials, which create a welcoming first day experience for your child.

KINDERGARTEN REGISTRATION

Kindergarten registration for the following school year is held each January.  The registration procedure includes the same steps listed above.  By District policy, all students entering Kindergarten must reach their fifth birthday on or before October 1st.

TRANSFER/WITHDRAWAL

Please let us know if you move out of our boundaries, as your child will need to transfer to his/her new school.  There is a withdrawal form that requires a parent's signature.  It is important that your child return all school-owned books and materials and close our any lunch account.  We will release records to your child's new school once all materials have been returned or paid for.

SAFETY AT SCHOOL

We welcome visitors to Sage Canyon Elementary and we want our students and staff to be safe.  All doors are kept locked during the school day except the front entrance leading directly into the main office.  To ensure that we know who is in the building at all times, we require everyone entering the building during the day to use the front door, check in at the office, and wear a visitor badge during their visit.  Please do not seek access at any other door.  When staff members are unsure of the identity of a visitor, we will ask for identification.

Sage Canyon Elementary has emergency plans for fire, natural disasters, and unwanted intruders.  Drills are conducted regularly so that students will know what to do in an emergency.  Quiet, orderly behavior is expected during all drills.

SNACKS

Teachers will determine a snack time either in the morning or in the afternoon.  Students may choose to bring a snack to eat at this time.  In order to promote healthy eating habits, snacks are limited to nutritious foods only.  Granola bars, fruits, veggies, nuts, cereal, etc. are fine. (Peanuts may not be allowed in your child's class if there is a student who has an allergy.  Please check with your child's teacher.) "Sweets" such as cookies, candy, chips and cake should be saved for dessert at lunchtime.  Snacks do not include beverages or food that needs to be microwaved.

STUDENT'S PERSONAL PROPERTY

We cannot be responsible for any loss or damage to students' personal property, they bring these items at their own risk. 

VISITS FROM FRIENDS AND RELATIVES

We cannot allow students to have visitors in their classrooms other than their parents.  Relatives and friends who do not attend Sage Canyon Elementary may not come to school unless a special event has been planned.

VOLUNTEERS

Parent volunteers are always needed in our school.  Volunteers work in the classroom with small groups of students or perform clerical tasks at school or home.  Volunteers help in the library or with special events such as field trips.  Volunteers help with PTO events.

Our normal school day can be affected by the weather.  School closures and delays are made with student safety formost in mind.  There are four types of weather related events:

SCHOOL CANCELLATION

In the event of inclement weather or other circumstances, school may be canceled for the day.  This decision is made by the centeral administration of the school district, not by the school principal.  A decision is made to close the entire district or just the specific geographic areas that are affected.  Announcments are made on television, radio stations, the district website, and the district weather hotline (303-387-7669).  Families are responsible for learning of a snow day through these sources.

DELAYED START  SchoolCenter Picture

This type of delay means that school will start one hour later than usual.  The school buses run one hour later and all students should arrive at school one hour later than usual.  For Sage Canyon, this means school starts at 10:10 am.  The decision for a delayed start is also made by the school district, not by the principal, and announcements are made on television, radio, the district website and the district weather hotline.  Once again, families are responsible for learning of a delayed start and sending children one hour later than usual.

EARLY DISMISSAL

On occasion, it is necessary to dismiss school early.  The decision to dismiss early is made by the District using the same procedures as a snow day or delayed start.  In this event, students and staff follow the Emergency School Closure Form instructions that each parent has filled out and turned in to the classroom teacher.  Please keep this information updated.  Parents go directly to the classroom to sign out students.

SchoolCenter PictureDELAYED DISMISSAL

In the event of unsafe weather conditions at Sage Canyon Elementary, the principal or designee will decide to delay dismissal.  This is not something we can plan in advance-often the decision is made 5-10 minutes before school ends.  If it appears that the storm will be brief, we just keep the students inside the school and then proceed as normal as the storm dies down.  Parents are welcome to wait in their cars or come into the building to get their children.

LIGHTNING DISMISSALSchoolCenter Picture

Lightening is a dangerous occurrance that happens frequently in Colorado and it is something that we take very seriously.  When lightning occurs at dismissal time, students will be required to remain in the building until a parent or guardian picks their student up and signs them out.  During these events, the following procedure will be followed:

1.  School bus riders will remain in class until called by bus numbers to proceed quickly to their bus

2.  Students who ride day care buses will be loaded after the school buses have left.

3.  Parents of walkers or car riders will go to their student's classroom, pick their student up and sign them out with the classroom teacher.

4.  In the event that the storm and lightning passes and students have not yet been picked up, they will be released to walk home as normal.

SchoolCenter PictureRECESS AND WEATHER

Recess is an integral part of school, and all students will be expected to participate.  During periods of inclement weather, please be sure your child comes to school with appropriate clothing, including boots, hats, gloves, socks, coat, etc.  Children will go out unless there is heavy precipitation, any lightning, or the temperature (with wind chill considered) falls below 20 degrees F. 

WHEELS

Students may ride bicycles to school.  It is the responsibility and decision of the parents to determine whether or not to allow their children to ride to and from school.  For safety reasons, bicycles must be walked on school property at all times.  Locking the bicycle in the school racks is the responsibility of the student.  Students should always hear a helmet when riding a bicycle and obey all safety/traffic rules.  Wheels of all other kinds are not allowed on school grounds.
